MentorSports Gymnasium (“MentorSports,” “we,” “us”), a program of Freedom Community Ministries, a 501(c)(3) nonprofit organization, operates this website and booking system at mentorsportsgym.org. This policy explains what information we collect, how we use it, and the choices you have. By using the site you agree to this policy.
Information we collect
- Account & profile. First and last name, email address, mobile phone number, date of birth, and (optionally) gender when you create an account.
- Household & family members. The names and dates of birth of children or other family members you add to your household so you can register them for activities.
- Waivers & safety information. When you sign a participation waiver we collect your emergency contact, any medical notes you choose to provide, the names of participating children, your signature, and a photo used only to verify identity at check-in.
- Activity & payment records. Bookings, program registrations, passes and memberships, court-rental requests, check-in history, and the reference codes tied to your payments.
- Technical data. A single secure sign-in cookie that keeps you logged in, plus basic server logs (such as IP address and timestamps) used for security and to operate the site.
How we use your information
- To create and manage your account and your family’s registrations, passes, and waivers.
- To check participants in safely and confirm identity at the front desk.
- To send you transactional messages — sign-in links, booking and payment confirmations, schedule changes, and, if you provide a mobile number, session reminders and confirmations by text.
- To process payments through our payment provider and keep accurate records.
- To keep the facility safe, enforce our Code of Conduct, and comply with the law.
We do not sell your personal information, and we do not use it for third-party advertising.
How your information is protected
The site is served over encrypted connections (HTTPS). Sensitive details — emergency contacts, medical notes, children’s information, your check-in photo and signature, and any insurance document you upload — are encrypted before they are stored. Access to member records is limited to authorized MentorSports staff.
Service providers we share with
We share information only with the vendors that help us run the site, and only as needed to provide the service:
- Hosting & database — our website host and database provider store the site and its data.
- Email & text delivery — to send the messages described above.
- Payments — payments are handled on our payment provider’s secure pages; we receive a confirmation and reference code, not your full card details.
- Sign-in with Google — if you choose to sign in with Google, Google confirms your name and email to us; we never receive your Google password.
We may also disclose information if required by law or to protect the safety of our participants.
Children’s privacy
MentorSports serves youth, but children do not create their own accounts. A parent or legal guardian creates the household account and provides a child’s name and date of birth to register them. We collect children’s information only from the responsible adult, use it solely to run our programs and keep children safe, and a parent or guardian may review or request deletion of their child’s information at any time by contacting us.
Your choices & rights
- You can view and update your profile and household from your account at any time.
- You can ask us to correct or delete your information, subject to records we must keep for legal, safety, or accounting reasons (for example, a signed waiver or a payment record).
- You can opt out of non-essential messages; transactional messages needed to run your account and registrations may still be sent. Every announcement email carries an Unsubscribe link at the bottom; reply STOP to any text to stop texts.
Data retention
We keep your information for as long as your account is active and as needed to provide our programs, then for a reasonable period afterward to meet legal, safety, insurance, and accounting requirements.
Changes to this policy
We may update this policy from time to time. When we do, we will change the “last updated” date above, and significant changes will be noted on the site.
